Reservation / Payment
All deposits and payments made are NON-REFUNDABLE and NON-TRANSFERABLE.
50% of your final invoice is due two months prior to your event date. If this 50% payment is not received by the deadline, your event will be cancelled. The cancellation of the event does not remove client's responsibility to pay the 50% that was promised to Choura Venue Services.
Final guest counts, menu details and room set up are required 7 business days prior to the event. Any last minute changes are subject to an additional charge.
Final payment is due 7 business days prior to your event. Any late payments are subject to a 5% penalty. All final payments made within 7 days of the event MUST be in the form of cash or cashier's check.
Acceptable forms of payment include cash, check, cashier's check, and all major credit cards. Checks are to be made payable to Choura Venue Services.
A credit card is required to be kept on file for all events. Any "day of event changes" are subject to additional charges, in which the card on file will be processed accordingly.
In the event of forced closures, client may reschedule their event to an available date within 12 months of the original event date. 100% of all deposits will be transferred to the new event date and client shall not be penalized for re-booking their event.
All events will be executed to meet current state and county health guidelines.
The Banquet Event Order (“BEO”)
The BEO document is your contractual agreement with Choura Venue Services and will outline the details of services our company will provide for your event.
When signing the BEO, the client is signing for the date, room and total amount ($) of the event. Although changes can be made, the total amount ($) of the event can not be lowered.
The client is responsible to review and approve the BEO, including all changes made leading up to event date.
Choura Venue Services will use the information on the BEO exclusively to complete the event. Any request for services or items that are not on the BEO will be considered a chargeable item.
If the client requests any additional items on the day of their event, Choura Venue Services will approve the request and request payment for the item(s). Examples of day of requests include, but are not limited to: additional tables, skirting, linen, overtime, set up changes, etc.
If on the day of the event the client has guests that exceed the final count given, Choura Venue Services will accommodate the additional guests to the best of our abilities. The client is responsible for the additional costs associated with the increased guest count. Payment must be made on the day of the event for any increases.
When additional hours are purchased, the hours will be added to the beginning time for morning events (events ending by 3pm) and to the ending time for evening events (events that begin at 6pm).
You have access to your banquet room 2 hours prior to your event start time although the room may still be in transition. Any additional set-up time needed will incur an additional fee and must be approved the week prior to the event.
Any unauthorized musical instruments or AV equipment that is brought in without Choura Venue Services' knowledge is subject to a fee, to be determined by management.
Vendors
Defined: any outside service that is contracted by the Client.
All outside Vendors must be approved by Choura Venue Services.
All Vendors are required to complete vendor applications with their contact information and provide a certificate of liability insurance listing Choura Venue Services as additionally insured.
All Vendors agree to follow the Vendor rules and regulations set by Choura Venue Services.
Vendors will incur any and all costs associated with damages they cause before, during, and/or after the event concludes.
Vendor meals can be purchased at the discretion of the Client, but it is the responsibility of the Vendor to make arrangements with the Banquet Captain as to where and when the meal will be served to the Vendor.
Items of Non-Responsibility
Choura Venue Services will not be held liable for any damage, loss, or theft of items left in the event center or parking area prior, during, or following any function.
Choura Venue Services is not held responsible for any "Acts of God": weather, power outages, or any other acts that are caused by natural forces. Refunds will not be considered under these circumstances.
Choura Venue Services does not assume any additional costs as it pertains to inclement weather. Any tent and/or heater needed is the responsibility of the Client, and is to be secured no later than 72 hours in advance.
Choura Venue Services reserves the right to terminate any events that are determined to be unsafe for the building and the guests of all events, without recourse from the Client.
Miscellaneous
No outside food or beverage, alcoholic or otherwise, may be brought into the facility by the Client or attendees.
Choura Venue Services maintains an upscale, classy environment, and strictly enforce such dress code to uphold that atmosphere at all times. It is the responsibility of the Client to inform their guests of this standard.
All children under the age of 12 years old must be supervised by an adult at all times.
If centerpieces include candles, the flame must not be exposed and must be enclosed by glass.
Items may not be affixed, taped, nailed, hung, or stapled to the walls.
Bird seed, glitter, confetti, rice, etc. are not allowed to be thrown inside or outside the event center.
Fog or Smoke Machines, Sparklers, & Fireworks are not allowed inside or outside the event center.
Mylar Balloons are not allowed inside or outside the event center.
The client is responsible for any damage caused by the Client, Client's contractors (i.e. florist, entertainment, DJ's, production companies, etc.) or any guest present at the function to the event center's interior or exterior; including but not limited to: event room, restrooms, lobby and parking lot.
All events booked over six months out are subject to market price increases.
Drones are not allowed anywhere on the premises. If a drone is found on premise and connected to your event, your event will be shut down.
